What you'll accomplish
Every retailer you sell through has its own co-op or vendor advertising guide, and each one has a different list of documents, a different pre-approval step and different deadlines. Instead of opening six PDFs to answer one question, you load the guides into one Gemini Notebook (formerly NotebookLM) and ask. Each answer comes with citations to the passage it used, so you can check it against the page.
What you'll need
Google's support page describes Gemini Notebook as a continuous chat that remembers its sources, instructions and discussion.
What you should see: An empty notebook with a place to add sources. Troubleshooting: If you cannot find notebooks inside Gemini, look for NotebookLM through your Google account, since the product was renamed and some accounts may still use the older name for a while.
Sources can be uploaded files, Google Drive files, website addresses or pasted text, according to Google.
What you should see: A source list with one entry per guide. Troubleshooting: If a guide is a scanned image, it may not be readable. Look for a text version or ask the retailer for one.
Use the notebook's instructions or chat settings area, where available, to set how it answers.
Answer only from the sources in this notebook.
Cite the source and passage for every statement.
Name which retailer's guide each statement comes from.
If the sources do not say, write "The sources do not say" and do not guess.
Do not mix the rules of one retailer into another's answer.
Give the document date for each source when you cite it, and tell me if the date is missing.
Start with the question you have to answer most often.
Example prompt to copy-paste:
For each retailer in the notebook, answer in a table:
1. Which documents does a co-op claim need, such as proof of performance or invoices?
2. Is there a pre-approval step before the ad runs, and what does it involve?
3. What deadlines are mentioned, for pre-approval and for submitting the claim?
Cite the passage for every cell. Write "The sources do not say" where a guide is silent.
What you should see: A table with citations that link back to the source passages.
For each cell you are going to act on, open the cited passage and read it. Then check the document's date against the retailer's portal or your contact. Guides get replaced, and a notebook knows only the version you uploaded.
